Issues before implementation

  • Although the company had demonstrated how to use AI in an internal project, it had not yet been concretely established or implemented in individual daily work.
  • In an organization of 60 people, there was an urgent need to reduce the burden of routine, individualized tasks and raise the level of literacy to promote efficiency throughout the organization.
  • There was a need to create a system that would allow for immediate trial and error within the company when creating visuals for presentation materials and various documents for internal and external use, and to quickly create more flexible and expressive output.

Effects after implementation

  • Through the training, all employees have taken ownership of the use of AI. Members who are skilled in AI have engaged others and voluntarily shared knowledge, resulting in positive changes within the organization.
  • AI literacy has improved throughout the organization. The Human Resources and General Affairs Department has also been able to make voluntary improvements, such as using GAS to improve administrative efficiency and consolidating knowledge using NotebookLM.
  • In addition, visual creation using image generation AI and the creation of business tools using simple programs generated by AI have simultaneously increased the range of expression and made business more efficient, resulting in cost optimization and improved response speed.

    Company Introduction

    CO Medical is a comprehensive company that offers a wide range of beauty and health-related products, including cosmetics, supplements, apparel, and colored contact lenses. Guided by the philosophy of "contributing to smiles," the company strives to create products that make looking in the mirror a joy. Currently, with a total of approximately 60 employees, the company is expanding its business at a rapid pace, with marketing and sales at its core.

    With the introduction of this generative AI, the Human Resources and General Affairs Department is taking the lead in promoting "Corporate Reskilling®" training for all employees.

    Issues before introducing generative AI

    CO Medical, which brings smiles to people's faces through the power of beauty and health, has been aware of the use of technology from an early stage. The company established an internal project team called the "AI Laboratory" and conducted educational activities such as demonstrating the technology at company-wide meetings, but faced obstacles in getting it to take root in practice.

    After seeing the demo, people exclaimed, "That's amazing!" but when it came to the stage of "How can we use this in our daily work?", adoption had not yet taken hold. We recognized that it was essential for the organization to ensure that each individual had a correct understanding of AI and could think about how it applied to their own work.

    In order to tackle high-value-added tasks within a limited time frame, the biggest challenge facing the entire organization was how to streamline the unavoidable administrative tasks.

    Effects after generative AI introduction training

    The biggest outcome of the training was that the entire organization began to naturally adopt AI and see it as something that "applies to them." Previously, AI was something that didn't concern everyone, but now everyone is proactively thinking about how to use it in their work, and the overall level of work has steadily improved.

    As someone in charge of the secretariat, I am most pleased that, beyond simply seeing an improvement in skills, we are seeing positive changes, such as members who are skilled at using AI to improve work efficiency sharing knowledge with others.

    In the Human Resources and General Affairs Department, we have used AI to automate routine tasks, such as renaming the files of 60 people's tax withholding slips, using GAS (Google Apps Script). Tasks that previously took hours can now be completed in seconds, and more than just improving efficiency, the fact that we have been able to eliminate unnecessary time with our own hands has been a major success.

    These changes are spreading to each department, and in addition to in-house knowledge aggregation and image generation using NotebookLM, an increasing number of team members are developing business applications and automation tools themselves using simple programs and no-code tools with the support of AI.

    Future outlook

    We are currently conducting training for all employees, with the aim of literally creating an organization where "everyone can use AI effectively."

    By partnering with AI, we are now able to operate in areas that previously required specialized knowledge, with a sense of speed and the ability to "immediately create something with our own hands." Going forward, we will further strengthen our culture of "asking AI first," and thoroughly automate and streamline tasks that can be entrusted to AI. Our policy is to invest the time saved in core tasks, such as "creating value that only people can do."

    I would like to further promote the creation of an environment where information is exchanged and case studies are presented actively, so that everyone, including myself, can become more self-reliant in their efforts to improve work efficiency.
